Department Head Duties:

 

  • Managing relationships with owners and tenants for the C&W management portfolio
  • Assisting property managers with problem resolution
  • Directly responsibility for the management of staff including property managers, operation managers and accounting staff
  • Responsibility for department processes and procedures
  • Responsibility for departmental budget preparation and reporting to Regional Head for APAC
  • Business Development
  • Managing Own Property Portfolio
  • Manage and have full responsibility of your own portfolio (currently 10 properties)
  • Regular inspection of properties
  • Initiate contracts for property maintenance, services, supply of materials, repairs, etc., as appropriate by tender, and call for quotes where this is deemed appropriate
  • Scrutinise all suppliers’ invoices prior to authorising payment, to ensure they accurately reflect the services requested and provided
  • Respond to all owner and tenant enquiries in a timely manner
  • Keep owners informed of building and tenant issues as and when appropriate
  • Prepare annual budgets for managed properties for approval by owners. Undertake outgoings reconciliations as required either under the lease or by the owner

As agreed with the owner, provide them with sound and timely advice and recommendations regarding the utilisation and management of the property(s) to ensure:

  • Best use is made of lease space
  • Type of tenants/tenant mix are appropriate to the property
  • Rents reflect current market rates for the area
  • Tenants are screened for suitability
  • The upgrading of facilities and services
  • Lease space in the managed properties, including:
  • Actively market the space
  • Activiely identify and canvass potential tenants
  • Provide information and assistance to lessors/lessees to assist them in their decision making and to achieve a successful outcome
  • Actively facilitate other aspects of the process to ensure a timely and successful outcome for the parties
  • Liaise with the commercial leasing department to ensure they are up to date with vacancies and movement within the portfolio
  • Ensure compliance with all statutory requirements (i.e OH&S, AFSS, lift / plant registrations) for your portfolio
  • Distribute tenant invoices and monitor payment of rents by tenants and take prompt action in relation to any arrears
  • Monitor leases (using Yardi) to ensure critical dates (i.e rent reviews, exercise of options, market rent reviews and statutory obligations) are actioned within the required timeframes
  • Ensure information in Yardi relating to properties for which you have responsibility is always accurate and current
  • Prepare and dispatch monthly reports to owners and, where appropriate, mid month reports
  • Regularly produce reports for use in the department, including End of Month returns, e.g., deal sheets, transfer of commission
  • Negotiate and secure MAA’s for properties
  • Maximise the return to the department by being aware of any opportunities to generate sundry income
  • Ensure the appropriate Cushman & Wakefield processes and procedures are followed at all times

About You:

 

To be considered you must possess

  • Proven management experience and strong people skills
  • Proven commercial or industrial property management experience
  • Excellent client management and communication skills
  • Strong lease negotiation experience and a track record of tenant retention
